An education nonprofit

Case management for ten staff across three programs.

Family records lived in spreadsheets, inboxes, and people's heads. Pomelo built their case and staff management system: linked individual and family records, with the notes, check-ins, goals, and action plans the whole team works from.

The staff side runs in the same system: purchase orders, PTO requests, and task management. An AI content system runs alongside it, drafting newsletters, board reports, and grant updates in the organization's own voice.

A tree care company

Sixty reports that build themselves.

Their numbers were spread across three tools, joined by name matching that broke when someone added a middle initial. Basic reporting burned over 10 hours per month, and evaluating one crew leader meant opening six pages.

Pomelo replaced it with one automated pipeline: crew performance, job costing, sales goals, and damage tracking across ten years of jobs, with alerts that email the owners when data goes stale or a job sits on hold too long.

A private training academy

A booking system that fills group sessions on its own.

Pomelo built a booking system around a custom grouping engine: kids book their own sessions and only see times that match their level, so groups fill instead of fragmenting. When a teammate books in, everyone else at that level gets a notification, and kids follow each other into sessions on their own. Per-coach schedules, Google Calendar sync, and invoicing run underneath it.

An overseas tour operator

A whole back office in one platform.

Client information came in through Jotform and got retyped by hand into a legacy CRM that was never built for tours. Pomelo built the platform their staff and their clients both work in:

  • Tour signup, registration forms, and an AI intake that reads passports on arrival
  • Installment payments with automated invoicing and reminders
  • Client messaging, announcements, and staff reporting
